Privacy Policy

1. Introduction

GuildHall LLC ("GuildHall," "we," "our," or "us") is a Missouri limited liability company providing AI operations advisory services to businesses. This policy explains what information we collect when you use ghforge.com, how we use it, who we share it with, and what rights you have over it.

This policy applies to information collected through this website. It does not govern information collected under a separate signed engagement agreement — those terms are established in the engagement document itself (which incorporates a mutual NDA).

2. Information We Collect

We collect only what we need. Here is what that means in practice for this site:

Booking information (via Cal.com)

When you schedule a discovery call through the booking form on our Contact page, Cal.com collects your name, email address, the meeting time you select, and any optional notes you choose to include. Your phone number is optional and only collected if you provide it. This information comes to us through Cal.com, which is our scheduling subprocessor.

Hosting and server logs (via Cloudflare Pages)

This site is hosted on Cloudflare Pages. Cloudflare automatically processes certain technical data as part of delivering web content — including your IP address (used only to derive approximate country), the pages you request, and response timing data. GuildHall does not receive individual IP addresses from Cloudflare. We may see aggregate traffic reports (country-level, page-level request counts) for the purpose of maintaining the site.

Direct email

If you email us at kyle@ghforge.com, we receive and store that correspondence. We use no CRM system, marketing automation platform, or mailing list. Email goes directly to Kyle Haworth.

Client engagement data

Information you share during a paid engagement — workflow documents, SOPs, pricing sheets, and similar operational materials — is governed by the signed engagement document and mutual NDA, not by this website policy. We mention it here for completeness but do not describe its handling here.

3. How We Use Your Information

We use the information we collect for these purposes:

• To respond to your inquiry and schedule a discovery call
• To deliver the services you engage us for
• To maintain and troubleshoot this website
• To comply with legal obligations if required

We do not use your information for email marketing, advertising, retargeting, or any automated profiling. We do not sell your data. We do not share your data with third parties except as described in Section 4.

4. Data Sharing and Subprocessors

We use two third-party services that process data on our behalf. Both are used solely to deliver the functionality of this website.

• Cal.com — handles our booking flow. When you schedule a call, your booking data is processed by Cal.com under their privacy policy: cal.com/privacy.
• Cloudflare Pages — hosts this website and processes server-level request data under their privacy policy: cloudflare.com/privacypolicy.

Beyond these two services, we do not share your information with any other third party unless required to do so by law, court order, or regulatory authority.

5. Data Retention

We keep data only as long as we need it:

• Booking inquiries that do not convert to an engagement: We retain your booking information for 12 months from the date of the scheduled call, then delete it.
• Email correspondence (inquiry-related): We retain email threads for 24 months if no engagement begins, then delete them.
• Engagement records: Records related to a completed paid engagement are retained for 7 years from the end of the engagement, consistent with standard Missouri business record retention practice. After that period, records are deleted unless a legal hold applies.

6. Your Rights

Regardless of where you live, we extend the following rights to everyone who contacts us or uses this site:

• Right to access: You can ask us what information we hold about you.
• Right to correct: You can ask us to correct inaccurate information.
• Right to delete: You can ask us to delete your information, subject to any legal retention obligations.
• Right to opt out of data sharing: We don't share your data for commercial purposes, but you can confirm this at any time by asking.

To exercise any of these rights, email kyle@ghforge.com with the subject line "Privacy Request." We will respond within 30 days.

If you are located in the European Union or United Kingdom, you may also have rights under the GDPR or UK GDPR, including the right to lodge a complaint with your local supervisory authority. We are a small US-based business not specifically targeting EU or UK residents, but we will handle any request from EU or UK individuals with the same care described above.

7. Cookies and Tracking

GuildHall does not set any first-party cookies and does not use tracking pixels, advertising cookies, or client-side analytics scripts of any kind.

The Cal.com booking embed may set session cookies necessary for the booking flow to function. These cookies are set by Cal.com under their own privacy policy and are used only to maintain the state of your booking session. They are not used for cross-site tracking or advertising.

Cloudflare handles our hosting at the server level. Any processing Cloudflare performs for security and performance purposes (for example, bot detection) is governed by their privacy policy. GuildHall does not instruct Cloudflare to collect data about you beyond what is required to serve this website.

8. Children's Privacy

This website is intended for business owners and operators. It is not directed at anyone under 18 years of age. We do not knowingly collect personal information from minors. If you believe a minor has submitted information through this site, contact us at kyle@ghforge.com and we will delete it promptly.

9. Changes to This Policy

We may update this policy from time to time. When we do, we will update the effective date at the top of this page. For material changes, we will send a direct email notice to active client contacts. Continued use of the site after an update constitutes acceptance of the revised policy.
